Rental Contract
All rentals are subject to the terms and conditions of the rental agreement.

Pay Methods
Your deposit payable upon booking confirmation can be made using Visa or Mastercard. The remainder of your rental will be paid upon the collection of your vehicle and can be made using all major credit cards including: American Express, Visa & Mastercard, Diners Card.

Credit cards
Europcar Asia Pacific accepts all recognised major credit cards including Visa, Mastercard, Bankcard, American Express and Diners Card. Europcar Asia Pacific do not accept debit cards. The credit card used for payment of the rental must be in the renters name and embossed on the front of the card. The renter’s signature must appear on the back of the card. Renters under 25 as well as renters of 4WD and Luxury vehicles must present a credit card on arrival. Credit Card charges will incur a surcharge. Credit Card charges will incur a 1.1% surcharge Visa & Mastercard, 3.3% Diners and 3.85% Amex

Security Bond
When the rental has been prepaid, Europcar Asia Pacific will imprint the credit card and Pre-Authorise the deposit of $350.00 (AUD) from your client’s credit card upon collection of the vehicle to cover additional charges such as fuel etc. This deposit is to be paid by any internationally recognised credit cards. NO CASH DEPOSIT ACCEPTED.

Rental Days
At Europcar Asia Pacific our days are based on 24-hour periods rather than calendar days. Every additional hour is calculated at one third of the daily rate. A grace period of 59 minutes is offered.

Kilometre restrictions

Australia
In Metropolitan, Remote & Country locations, rates include unlimited kilometres excluding vehicle classes CXAR, FXAR, LXAR, IVAR and FFAR/FFMR (refer to your rate sheet).
  • Please refer to your Contracted Rate Sheet for applicable Kilometre restrictions.
  • Rate of the day Product – Applicable Retail conditions will apply and may differ to above.

  • One Way Rentals

    ECMR, CDAR, IDAR & FDAR categories are on a free sell basis for one way rentals until sold out when a stop sell notice will be issued. Specialty vehicles are on request basis.

    AUDI’S- are not available for one way rentals. Special requests will be considered for long term rental only

    One Way fees
    - All prices quoted are in Australian dollars and are inclusive of GST.
    - One Way Fees are to be paid by the client direct to our counter on vehicle pick-up.
    - One way Fees paid direct will incur taxes such as the Premium Location Surcharge when applicable and Administration Fee.
    - Any rentals under 3 days are on request basis, fees will be advised at time of reservation.

    Multi Hire Rentals
    Clients wishing to rent a vehicle from multiple locations across Australia can do so at an even more competitive rate. Each rental must be a minimum of three (3) days with a total minimum, of seven (7) days. Seven (7) consecutive days is the maximum ‘break’ between reservations that is required to qualify for the multi-hire rate.
    • Multi-Hire rentals must be communicated to Europcar’s Reservation Department prior to rental pick-up. In the event where a rental is filled without Multi-Hire information, standard rates will be charged.
    • A separate voucher MUST be issued for each rental. Different types of vehicle categories can be used for each multi hire rental. Available on all categories except for luxury vehicles. Agents must indicate on the reservation request that multi-hire rate has been applied. Available on prepaid voucher bookings only.

    Refunds
    Refunds are NOT permitted on wholesale products once rental has commenced.

    Maps

    All customers are supplied with a street directory free of charge. There is a replacement fee of  $50AUD if street directory is not returned.

    Petrol Information
    The vehicle is rented with a full tank of petrol. Similarly, the renter is asked to return the vehicle with a full tank of fuel. If the vehicle is not full of fuel upon return a refuelling charge applies.

    Hotel Deliveries and Collections

    Europcar Asia Pacific will provide you with delivery and collection of vehicles to hotels within a 10km radius of the depot. This service is available Monday to Friday (09:00 to 16:00). Delivery details must be provided when making your reservation. Credit card details must be provided upon reservation Airport delivery is not available.

    Baby Seats
    Europcar Asia Pacific provides baby seats for all passenger vehicles. They are suitable for children aged 1 to 4 years. Baby seats are required to be pre-booked to ensure supply upon arrival and are on a request basis ONLY. The cost is A$7.70 incl GST per day or a maximum charge capped at 10 days.
    Europcar Asia Pacific does not supply baby capsules or booster seats within Australia.
    The baby seat cost is also subject to PLS, Admin and credit card fee’s where applicable.

    GPS Units
    Europcar Asia Pacific provides portable GPS Units that can be fitted to any passenger or commercial vehicle and on request. Available in all major cities at airports and downtown locations. GPS unit is $10.95 per day and $55 for 7 days, it  may be taken one way with a $25 drop off fee.
    To reserve a GPS Unit please inform our reservation staff at the time of your booking.
    The GPS unit cost is also subject to PLS, Admin and credit card fee’s where applicable

    Driving Restrictions in AUSTRALIA

    3.1      Subject to clause 3.3 You must only use the vehicle on a surface which is sealed.
    3.2      Subject to clause 3.3 You may use the Vehicle on a gazetted road, if it is a 4WD (CFAR/FFAR/FFMR), however this specifically excludes the Subaru Impreza and Subaru Outback and all Audi models whatever configuration as per above.
    3.3       The following roads are only allowed to be driven in a FFMR/FFAR. This is subject to road conditions at time of rental.
                  a)    The Cadabia – Ningaloo Road.  It is compulsory to hire a second wheel for journey’s on these roads:
                  b)   on the Gibb River Road.
                  c)   on the Cape Leveque Road and to Windjana Gorge
                  d)   on the Larapinta and Namitjira Drives, commonly known as  the “Mereenie Loop”
                  e)    Bungle Bungles 

    UNDER NO CIRCUMSTANCES WILL ANY VEHICLE BE ALLOWED ON THE FOLLOWING ROADS
    • on the road from Jim Jim Falls to Twin Falls
    • beyond Chillagoe or Georgetown in a westerly direction
    • beyond Cooktown or Laura in a northerly direction
    • on the Burke Development Road
    • north of Maggieville
    • on unsealed roads north and west of Mt Isa
    • on the Bloomfield track
    • on the Savannah Way
    • on the Tanamai Track
    • The Simpson Desert
    • on the Gunbarrel Highway
    • Cape York 
    • on the Strzelecki Track 
    • On the Oodnadatta Track,
    • On the Warburton Route, Tanami Track
    • On the Kalumbru Road, Cape Leveque
    • On the Canning Stock Route
    •  On Tracks to Lost City (Litchfield NP)
    • Lennard River Gorge Road
    • Above the snow line from 1 June until 30 October each year (unless snow coverage is purchased at the commencement of the Rental period)
    And in no circumstances
    i)    on beaches or through streams, dams, rivers, or flood waters
    ii)   on flood prone roads or any roadway where the Police or any other Government authority have issued a warning or caution.
    iii)  no vehicles are permitted on Fraser Island.

    Travel on Ferry Service and Trains in Australia
    • Travel on Ferry Services in Australia is permitted, for example, to Kangaroo Island, and Tasmania but will not be covered by insurance whilst on the ferry.
    • Travel on Trains is permitted
    Vehicle Registration Recovery Fee (VRRF)
    VRRF is a mandatory fee charged per day to partially recover the Vehicle Registration costs. VRRF is charged at $5.78 (AUD) per day, within Australia (except Tasmania), VRRF is charged at $6.00 (AUD) per day, in Tasmania.

    Administration Fee
    An Administration fee of 2.9% will be charged on all rental charges for mainland Australia and 1.5 % for Tasmania, however this fee will be built into contracted rates. Any additional extras paid direct, i.e. One Way Fee, baby Seats, GPS Units, fuel, damage extra days etc will incur this fee.

    Drivers Licenses
    • Driver’s license must be valid for the period of rental and must be in English.
    • Probationary licences are not acceptable nor are photocopies.
    • Europcar Asia Pacific accepts all international drivers licences when accompanied with a license of origin.
    • For identification purposes, we also require clients to provide their credit card details.
    • Photocopies of credit cards are not acceptable as ID
    Age Surcharge and Restrictions
    A customer must be at least 21 years of age to be eligible to rent a car from Europcar Asia Pacific and must carry a full licence (not probationary). However, there are restrictions for renters under the age of 25.

        * 21-24yr olds must be a credit card holder
        * 21-24yr olds must pay Age Surcharge of $13.20 (AUD) per day in Australia.
        * Drivers Aged 21-22 cannot reduce their Damage Liability, however they can purchase WHT
        * Drivers Aged 21-24 can only rent the following vehicles ECMR, CCAR, ICAR, SWDR & CFAR
        * A minimum age of 25 yrs is required for the following vehicles FCAR, FWAR, LCAR, PVAR, IVAR, Large 4WD (FFMR/FFAR) and luxury/prestige vehicles.
        * All 4WD, Luxury and Prestige hirers MUST hold a credit card

    Additional Drivers
    When collecting the vehicle each driver must be listed on the Rental Agreement and they must present their drivers licence at time of collection. An additional driver is charged at $3.30 (AUD) per day, per driver and is capped at 7 days. This means that any rentals that exceed 7, the additional driver fee is capped at $23.10 per additional driver.
    Vehicle Return and Replacement
    • You must return your vehicle to specified Europcar station, on the date and by the time shown at the commencement of the rental period.
    • If you return the vehicle to a location other than that was shown on RA at the commencement of the rental period, a ‘drop fee’ may apply. If a ‘drop fee’ applies you must pay it at the end of the rental period
    • If you return the vehicle to any place other than a Europcar location, or if the Europcar location is not open, you will be deemed by Europcar to have returned the Vehicle when Europcar takes possession of the Vehicle keys. The rental charges will continue and you will be responsible for the vehicle until such time as Europcar deem the vehicle to have been returned. You must pay all additional rental charges.
    • Europcar may request the immediate return of the vehicle, or Europcar may repossess the vehicle without notice. You must also pay Europcar any cost it incurs in the repossession of the vehicle as well as all costs and charges under the rental agreement.
    • Europcar reserves the right to not replace the vehicle if the vehicle or third party property are damaged before the rental period expires.
    Maintenance and Safety
    Europcar constantly strive to provide vehicles of the highest quality in order to keep our customers totally satisfied. To help us to do so, it is important you look after your vehicle properly from the moment you pick it up to the time you drop it off.

    If you detect any damage to the vehicle you are hiring and it has not been recorded on the Rental Agreement, pleas notify Europcar staff before you depart with the vehicle to avoid disputes upon return.

    Total Protect Package

    TPP - Total Protection Package. This insurance reduces  liability to $ 330 for cars, all wheel drive & minibuses and $990 for LXAR, FFMR, FFAR, IVAR. Special OFFER package including LDW & WHT Combined.

    Damage Liability Fee (DLF)

    When hiring a vehicle the Renter is liable for damage to the vehicle and third party property.
    In the event of an accident or third party property, a Damage Liability Fee (DLF) will be charged. This fee is charged regardless of who is at fault or the amount of damage. You can reduce the (DLF) by paying a supplement fee. Fee will incur all applicable taxes such as premium surcharge and administration fee.

    Breach of these Terms & Conditions
    Europcar shall have the right to terminate the Rental Agreement at any time and take immediate possession of the Vehicle or an Authorised Driver breach these terms and conditions.     Breaches of this Rental Agreement will result in You paying for:
    1. all costs to rectify the Vehicle to its original condition or replacement of the Vehicle; and/or
    2. loss of rental revenue to Europcar; and/or
    3. damage to third party property being Your full responsibility; and/or
    4. all reasonable costs for towing, storage and recovery of the vehicle.
    You will be entitled to terminate this Rental Agreement if Europcar breaches its terms and conditions

    Premium Location Fee (PLS) & Melbourne City Link Tolls

    When all passenger airports in Australia were privatized, these airports significantly increased the car rental concession fees. As a result, when renting a vehicle from an airport location, a PLS applies. This fee is a compulsory charge and partially reimburses Europcar for fees imposed by the airports. Europcar reserves the right to change these fees or add additional airports during the course of the contract.

    Contracted rates may choose to have PLS included in their rates or paid direct by the client, however any additional extras paid direct, i.e. One Way Fee, baby Seats, GPS Units, Fuel, Damage, Extra days etc will incur this fee

    We ask our customers to make a $2 donation to Greenfleet every time they rent with us.

    Greenfleet Program
    Transport is Australians fastest growing source of green house gas emissions.
    Europcar is striving to become a greener car company by promoting environment awareness in the car rental industry and amongst consumers.
    For every rental vehicle would offset by our partner Greenfleet, who will plant 17 trees. 

    City Link Tolls (Melbourne)
    With the introduction of electronic tolls to City Link roads in Melbourne (3rd January 2000), clients will need to ensure they have a pass to use the roads. Clients without a pass will be liable of fines up to AUD150.00. There are 2 options available to your clients:

    Option 1 – Car Rental Toll – This product is for users who wish to have the convenience of paying tolls as part of their rental agreement. This product is purchased on an every consecutive day of the rental contract basis (you cannot nominate different days). The fee for a small vehicle is A$13.87 incl of GST per calendar day, commercial vehicle is A$23.86 incl of GST per calendar day, and gives the client unlimited usage.

    Option 2 – Standard Day Pass - This product can be purchased as an infrequent user of City Link and is available by calling 13 26 29 (within Asia Pacific only).

    Snow Cover Option and Roadside Assistance
    To meet our customer’s needs Europcar Asia Pacific now offers an accident/incident package for clients travelling to the snowfields.

    The new package is compulsory if clients wish to travel above the snow line, without which the client is not permitted to take the vehicle to the snowfields.

    If a client chooses to take the standard Loss Damage Waiver (LDW) on a passenger vehicle as well as the Snow Coverage the

    Damage Liability Fee for above and below the snow line will be $330.00 (AUD).
    If the client only wants to purchase the Snow Coverage on a passenger vehicle then the Damage Liability Fee will be $2750.00 (AUD) within Australia for above and below the snow line.

    In Summary
    •  Snow coverage is compulsory for vehicles travelling above the snow line. The cost is at $24.00 per day within Australia (incl GST) per day for all cars, minibuses, all wheel drive and 4WD vehicles.
    • If a client travels to the snow fields without purchasing the Snow Coverage they will be liable for all costs associated with any accident or incident.
    • Chains can be supplied & fitted by the client however chain damage is not covered. Roof racks can be supplied & fitted by the client however roof damage is not covered.
    24 Hour Roadside Assistance
    • All Europcar locations provide clients with 24 hour emergency road side assistance.
    • Roadside assistance is free for all mechanical damage defects not resulting from Renter misuse of the vehicle.
    • We charge for all non-mechanical defects such as lost keys, keys locked in the vehicle, flat battery due to lights being left on etc. Costs charged can be obtained by contacting Customer Service
    Glossary of Rental Agreement Terms
    “Authorised Driver” means:
    • An additional driver who is listed on and signs Part A (of the Rental Agreement),
    • Your employer or a fellow employee, if either are engaged in activities that are directly related to Your business duties and the Vehicle has been hired using a Corporate Account.

    “Corporate Account” means a company, association or group who has met the criteria of Europcar Asia Pacific to establish either a Credit Facility, Direct payment account or any other contracted rate for contracted rates and conditions.

    “Damage Liability Fee” or “DLF” means Your contribution to the Owner in the event of an accident or incident involving the Vehicle, subject to specified conditions.

    “Europcar” means the person or entity detailed above the words “The Owner” on Part A (of the Rental Agreement) or where applicable, an independent Europcar System licensee.

    “LDW” (Loss Damage Waiver/Reduction) means the fee to reduce the Damage Liability Fee and, if You accept LDW on Part A (of the Rental Agreement), You agree to pay the LDW fee.

    “Rental Period” means the period commencing at the time and on the date shown on Part A (of the Rental Agreement) & pending at the time and on the date that You return (or are regarded as returning) the Vehicle to Europcar.

    “Substitute Vehicle Insurance” means a policy of motor vehicle insurance held by You or an Authorised Driver which covers You or the Authorised Driver while You or they use the Vehicle as a substitute for the vehicle insured under that policy.

    “Snow Coverage” means the fee to allow the Vehicle to be driven in the areas defined in clause 3.2f (of the Rental Agreement).

    “TOL” relates to prepaid electronic tolls and, if You accept TOL on Part A (of the Rental Agreement), You agree to pay the daily toll fee.

    “TPP” (Total Protection Pack) means the combination of LDW & WHT.

    “APT FEE” (Airport Fee) means the percentage fee on Part A (of the Rental Agreement) charged to You on all charges incurred by You on the Rental Agreement.

    “Commercial Vehicle” means any vehicle used for carrying goods

    “Passenger Vehicle” means any vehicle other than a four wheel drive that is designed to carry more than 3 people including the driver

    “4WD” (four wheel drive) means any vehicle whose class code contains F as the second letter. The vehicle class appears on Part A (of the Rental Agreement).

    “Sealed Road” being a road sealed with a hard material such as tar, bitumen or concrete

    “Gazetted Road” means a sealed or unsealed road regularly maintained by a local, state or government body or council

    “Overhead Damage” means any damage to the vehicle at or above the top of the front windscreen of the vehicle

    “Vehicle” means the Vehicle described on Part A of the Rental Agreement (or any substitute Vehicle), and includes its parts, components and accessories

    “VRRF” means Vehicle Registration Recovery Fee charged to partially recover the Vehicle registration costs.

    “WHT” means the protection for Windscreen, Headlight and Tyre puncture, however it excludes negligence or abuse by You or an Authorised Driver and, if You accept WHT on Part A (of the Rental Agreement), You agree to pay the daily LDW fee.

    “You” or “Your” refers to:
    • the person(s) with whom the Rental Agreement is made and whose details are stated under the words (“The Renter”) on Part A (of the Rental Agreement.)
    • any authorised driver
    • the corporate account whose name appears as “CD Name” on Part A (of the Rental Agreement)

The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.

    While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.

    Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.

    Booking information
    To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.

    A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

    If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

    Information disclosure
    In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.

    Amendments
    Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
    Car rental alterations (all charges stated in local currency):
    To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
    To add or remove extras to/from a confirmed booking: 10.00
    Motorhome rental alterations (all charges stated in local currency):
    To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
    To add or remove extras to/from confirmed booking: 20.00
    The alteration fee will not be charged if your alteration request is not possible.

    Vehicle Capacity and fitness to drive
    Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.


    Europcar AU Insurance

    The below insurance is valid for travel before 1st April 2009.

    Compulsory Insurance (Included in Rates):
    Damage Liability Fee (DLF) - Liability is $2,750 for ECMR, CDAR, IDAR, CXAR, SDAR, FDAR, FWAR, LCAR, FXAR, PVAR, CFAR, and $5,550 for LXAR & FFMR. 

    Fair Wear & Tear (FWT) - Classified very minor damage that is deemed reasonable durning the rental of a vehicle. Damage Charges will not apply: Includes chips up to 2mm radius(no dent). Scratches up to 10mm length and 1 mm width (no dent) or any scratches than can be polished out.   

    Liabiility insurance to third party - Insurance policy Limit for body injury.
                                                     - Insurance policy Limit for property damage. (Included in registration of vehicles)
                                                     - Insurance policy Limit for body injury & property damage.

    Optional Insurance:
    Loss Damage Waiver Insurance (LDW)
    This insurance costs $ 20.9 per day for cars, all wheel drive & minibuses, it will reduces liability to $ 330 for  cars, minibues and all wheel  drive.
    For FFAR, FFMR and  LXAR, this insurance costs $ 19.80 per day, and will reduces liability to $ 990 for FFMR  LXAR and FFAR.
    For IVAR this insurance cost $20.90 per day, and will reduces liability to $ 990.

    Windscreen Headlights Tyres Insurance (WHT)
    This insurance cost $7.70 per day for cars, all wheel drive & minibuese, and $ 13.20 for FFAR, FFMR, IVAR and LXAR

    Total Protection Package Insurance (TPP)
    This insurance costs $18 for cars, all wheel drive & minibuses, $24 for FFAR, FFMR and  LXAR, $28 for IVAR, and it will reduces liability to $330 for cars, all wheel drive and minibuses, $990 for IVAR, LXAR, FFMR and FFAR. Special OFFER Package including LDW & WHT Combined.  

    Snow Cover  and Roadside Assistance
    To meet our customer’s needs Europcar Asia Pacific now offers an accident/incident package for clients travelling to the snowfields.
    The new package is compulsory if clients wish to travel above the snow line, without which the client is not permitted to take the vehicle to the snowfields.  
    If a client chooses to take the standard Loss Damage Waiver (LDW) on a passenger vehicle as well as the Snow Coverage the Damage Liability Fee for above and below the snow line will be $330.00 (AUD).
    If the client only wants to purchase the Snow Coverage on a passenger vehicle then the Damage Liability Fee will be $2750.00 (AUD) within Australia for above and below the snow line.
